ABSTRACT

The objectives of an effective system of document control are twofold: to assure that all of the contractual and procedural requirements are regularly adhered to in an organized manner and that the status of all of the documents is readily available. The first step in effective document control is optimization of document handling. On the document flow sheet, the requirements for document status should be clearly shown and the responsibility for this function definitely assigned. The role of the specification logbook is to record the total job documentation for all of the specifications. To monitor, control, manage, and prepare status reports, log books are not the most practical format. The system of using the two logging blocks for each revision works whether the specification is returned with comment or without. The status of the specification is indicated in the visual map which provides a separate block for each of the five types of specification issues.
