The security-reports section should be the only part of the company allowed to copy them. The major conflict within any security report system comes from balancing the need to restrict the flow of certain pieces of information with the need to ensure that staff are adequately informed in areas affecting their work. When the reports have been indexed and information about them disseminated, then of course they must be available when required. Arranging reports by the name of the originating body certainly has some advantages in that many enquirers will ask to see reports of work done at a certain named laboratory. Access to the subject matter of the reports will be either via the subject index created by the information unit or via relevant published indexes. Reports can be in filing boxes, in filing cabinets, upright on any suitable shelving or in a lateral suspended filing system.
