Change, whether incremental or fundamental, is difficult. Transitional periods are times of high risk. Communication strategies must be created to support and reassure staff along the way. The Communications Team will need to work with leadership to help reinforce existing communications channels and effectively communicate with key audiences throughout the project. When establishing targeted communications, identify and focus on a few key groups where those efforts will have the greatest impact and can be maintained on a consistent basis with high-quality messaging. Instead of using centralized communications to share highly detailed information or provide updates to very small or specialized audiences, leverage a decentralized approach through the electronic health record application analysts and teams working directly with operations. The organization established project governance and decision-making processes along with a comprehensive methodology to monitor project plans. Additionally, more than 800 Subject Matter Expert from across the enterprise were identified to help support the project.
