Once the factors leading to the need for recruitment have been established, the data processing department or personnel department now reaches a stage where the presence or lack of precision and clarity will considerably affect the chances of successful recruiting. If there is no title for the job, one must be invented. Organisational position should show the reporting structure for the position-the title of the immediate superior and the place of the unit within the organisation. A short description should be provided of the main function of the unit. Job description, if possible, should be kept to about 150 words and should cover, precisely but briefly, the main tasks of the job; other tasks and the responsibilities. The aim in preparing a good profile to act as a recruiting guide should be to set the constraints as wide as possible and yet still to end up with a recognisable portrait.
