ABSTRACT

This chapter covers general maintenance procedures for records and information, focusing particularly on the semi-active phase of the life-cycle and the management of records centre operations. It examines the storage of records, retrieval and replacement, tracking and business recovery planning. The records centre must be clean. This means that the records in it must be protected from damage by dirt, insects or rodents or infestation by moulds. Maps and plans are best kept in plan cabinets equipped with drawers or in vertical plan cabinets equipped with hangers. Photographs should be kept in acid-free folders, individually, and kept in a controlled environment. Audio tape requires the same storage conditions as films. Unsuitable environments have damaged records more extensively than any other single factor. Careful control and observation of temperature, humidity and ventilation within storage areas and regular maintenance of heating/ventilation systems are essential.
