If the venue show-round was successful, the venue will receive notification from the client that the event is going ahead, confirmation will be received. Some venues use colours or symbols in their venue calendar to denote enquiries, provisional bookings, confirmed bookings and cancelled bookings. A venue should not permit access to the venue before the contracted get-in time. A venue can easily control this. However, a venue cannot easily control event over-runs or a de-rig that takes longer than anticipated. For this reason, the venue may charge penalties for overstaying the contracted hire period. The venue hire contract must state the penalties incurred in such situations. An outline itinerary suggests the schedule could change. At the early stage of confirmation and raising the contract, timings must be allowed to change. The basic timings, and especially the get-in and get-out times would not normally change.
