The Bid Manager must make sure that key files and documents are maintained in more than one place, ideally on a daily basis, particularly during periods of rapid change in the bid content, and on a separate site, but at least in a different part of the building or stored on a corporate/central computer system which is backed up in this way. Where documents are available only as paper copy, then photocopies should be taken as appropriate. Bids are produced in fast-moving, relatively high-pressure environments and there is little time for the recovery of lost information, it is vital that back-ups be done as quickly as possible.
