Information held on computers or in filing cabinets or desk storage needs to be protected from interference and prying eyes. Interference may be just casual – someone playing around with your computer or the files on your desk when you’re not there – but it can still result in damage, disruption or loss of files. In the case of paper records, security will involve locks on filing cabinets and desk drawers that contain sensitive information of any kind; keys need to be kept by a minimum number of authorized personnel and files should never be left lying about. There should be a proper system for recording when files are removed, and by whom, and for ensuring that they are returned. A ‘clear desk’ policy means that all work materials are removed from the desk surface and locked away before the person working at each desk leaves the office.
