ABSTRACT

As part of the documentation process, it is useful to index not only the subjects or topics contained within the film or video, but also, for collections which contain a range of material, the genre and type of the items. Depending on the design of the documentation system used, there may be a need to add rights details to both holdings information and cataloguing entries, as users may look at these independently. When using a database for cataloguing and indexing, on-line validation should be built in wherever possible. To maximise the potential usability of a visual collection, it is important that the subject cataloguing is managed. Once the data format has been established and agreed, it can be used as the basis for all future developments. Item titles should be included as part of the subject cataloguing entry, but are important to document the holdings, as certain components will relate to each item, as opposed to the film or video.
